Position Title: Administrative Officer
Number of Job Holder : 1
Reporting to : Director, Office of  Human Resources Services
School/Office : Office of  Human Resources Services
Location : Administration Building   

1. General Summary

Responsible for managing and running the HR functions and administrative duties of the office, and other necessary tasks associated with the daily operation of the office. Support the HR Director in supervising HR team.
Responsible for the full administration of employee (staff contracts).  Managing/Monitoring of the staff contracts (new/renewal, promotion, reclassification and salary increase)  

2. Functions & Duties

  • Assisting the HR Director in managing the overall HR functions 
  • Prepares contract for staff (new appointment, renewal, status changes, change of account, resignation)
  • Administer on-boarding processes
  • Assist in staff orientation activities
  • Monitoring monthly salary payments, supplementary allowance and overtime payment   
  • Prepares notice of contract for renewal
  • Administer related benefits for faculty and AA staff e.g. settlement/resettlement allowance
  • Administer related retirement/early retirement package
  • Compile and prepares report on performance appraisal/annual merit increment
  • Prepares employment verification letter
  • Other duties as assigned by the Director, Human Resources

3. Job Specification

  • Bachelor’s degree or equivalent in Human Resources Management
  • Minimum 3 years proven experience in management and administration related job
  • Systematic, accurate, conscientious, and good at follow-up
  • Well motivated and team-oriented with abilities to meet challenges associated with the demands of the job
  • Ability to work under pressure willingness to work irregular hours
  • Good command of written and spoken English
  • Good computer skill
  • Good interpersonal skills, especially in dealing with people of various nationalities
  • Energetic person, must take own initiatives to solve problems and provide HR services
  • Supportive with a problem solving attitude
