2 years fixed term includes 3 months probation (Renewable subject to satisfactory performance)

The Entrepreneurship Center (EC) was established in September 2019 as an AIT initiative to support entrepreneurship at the UNiversity and community at large. EC is working to link the academic life with business reality through training, incubation, research and consultation. EC’s services are tailored to AIT students, faculty, alumni, staff and also extend to the private sector, business, communities, associations and government agencies. EC’s mission is to support students and the greater Bangkok community to develop business ideas and transform them into viable start-ups.

Job Description

  • Provide support to managers, other employees, and office visitors by handling a variety of tasks in order to ensure that all interactions between the organization and other are positive and productive.

  • Should be a responsible and punctual professional who is focused and attentive.

  • Should be a resourceful problem solver, responsive and enjoy resolving daily challenges.

  • The Administrative Assistant should be comfortable using computers and communications technology, able to manage general office tasks, scheduling, and have exceptional communication skills.

  • Above all the Administrative Assistant (AA) should have a genuine desire to meet the needs of others and support the growth of EC.

Strategic Skills

  • Adapt in technology, having the technological skills necessary to perform data entry, manage team calendars, and create EC reports. It’s important to be familiar with Microsoft Office software like Excel, Word, PowerPoint, as well as Google drive products and apps related to project management. An ability to learn new tech platforms and update social media platforms like FB & IG.

  • Verbal and written communication, one of the most important AA skills you can exhibit. The EC needs to know they can trust you to be the face and voice of other employees and even the EC. THis includes handling incoming correspondence from staff, students, suppliers, or partners in a timely and professional manner. Most important is a positive attitude and the ability to deal with a diverse range of people.

  • Organization and time management, can perform as the key person responsible for keeping the whole office organized. THis includes organizing team schedules, events, and files with a system that makes sense for everyone. This ensures that your fellow team members in the organization can easily follow your filling system without misplacing items. Prioritizing your tasks in order of importance or planning out processes for the entire office to follow. Planning skills also come into play when arranging employee and executive calendars when unexpected cancellations or changes arise having an ability to help the office adapt.

  • Basic accounting and fiscal management for the team, assist in managing all of the resources of the EC.

  • Foresight and the ability to anticipate needs and complete important tasks without needing to be  asked. An amazing assistant will take initiative to support the business instead of waiting around for approval or direction.

  • Able and willing to travel for promotional events on a semi regular basis.

Soft Skills

  • Ability to deal with all kinds of people including diverse and difficult people. Not easily offended and has an ability to read people so they can adapt their communication style accordingly.

  • Confidence, not insecure about asking questions when necessary and are able to provide insightful constructive feedback to all people in our organization.

  • Team player, work well in a group setting and have abilities like: mediation, conflict management, negotiation, collaboration and idea exchange, especially be willing to share ideas freely. All of this means the AA needs to have exceptional listening skills.

  • Problem solving and adaptability, in the world of entrepreneurship change is common and frequent, therefore, having an ability to deal with and manage this rapid pace of change is key to success.

  • Work ethic, self-motivated and disciplined, is willing to take initiative and be responsible to the team and EC.

  • Interpersonal skills, can easily get along with all types of people and is willing to try to understand the perspectives of all people. Public speaking, introductions, and being a gracious host to visitors. Should have a rice personal life and good network of friends and contacts in the greater Bangkok area.

  • At least a Bachelor degree in finance / business school or social sciences or a technical field.

  • Knowledge in understanding relevant policies and procedures related to the institute.

  • Excellent command of the English language in terms of speaking, reading and writing.

  • Experience in administrative task

  • Ability to work under high pressure
