The Administrative Officer will work as a key support member of the International Affairs (IA) Unit of the Office of International and Public Affairs at the Asian Institute of Technology (AIT), which is a leading international post-graduate institution offering advanced engineering, technology, environment and management education. The International Affairs Unit initiates, facilitates and manages international cooperation for AIT. The Administrative Officer is responsible for managing and overseeing the administrative operations within International Affairs Unit at AIT. This position plays a critical role in ensuring the smooth functioning of the Unit by providing administrative support, coordinating activities, and fostering effective communication both internally and externally. The Administrative Officer will work closely with the Unit staff to ensure efficient operations and contribute to the overall success of the Unit.

The Administrative Officer will report to the Director of International Affairs of the Office of International and Public Affair and liaise with OIPA Executive Director as needed.

  1. Administrative Management: 
    • Develop and implement administrative policies, procedures, and systems to enhance efficiency and effectiveness within the Unit. 
    • Oversee the management of administrative tasks, including budgeting, procurement, record-keeping, and facilities management.
    • Collaborate with other Units to ensure compliance with institutional policies and procedures. 
    • Record-keeping of all institute level agreements signed with the institute Partners and update the records frequently.
  2. Coordination and Communication: 
    • Coordinate Unit activities, meetings, and events, ensuring smooth execution and timely communication with relevant stakeholders. 
    • Serve as a liaison between the Unit staff and external partners including the embassies, facilitating effective communication and collaboration. 
    • Provide support for the other Units in the administration such as for the Graduation Ceremonies and other special events.
    • Checking of the Unit emails frequently and inform the Unit staff efficiently.
  3. Human Resources:
    • Assist with the recruitment, selection, and onboarding process for unit staff, ensuring compliance with institute guidelines.
    • Oversee personnel management activities, including performance evaluations, professional development, and employee relations.
    • ​Maintain accurate personnel records and manage payroll processes in collaboration with the institute's HR department.
  4. Budget and Financial Management: 
    • Prepare and monitor the Unit budgets, ensuring fiscal responsibility and adherence to financial guidelines. 
    • Coordinate financial processes, including expense approvals, reimbursements, and procurement of supplies and equipment. 
    • Collaborate with the institute's finance department to ensure accurate financial reporting and compliance. 
  5. Other duties:
    • Assist with the Unit staff in organization of international events, meetings online or offline.
    • Other relevant assignments as assigned by the Director of International Affairs and the Executive Director of the Office of International and Public Affairs.

Qualification:

  • Relevant degree (Master’s degree from a leading university is an advantage) in business / public administration, human resources, finance, accounting, social sciences, education, or others, supplemented with formal business training and related experience in supervisory or administrative work.

Knowledge, Skills and Experience:

  • Proven work experience as an Administrative Officer, Administrator or similar role.
  • Solid knowledge of administrative and office procedures and budget related matters.
  • Experience with office management software like MS Office (MS Excel and MS Word, specifically)
  • High-level of proficiency in spoken and written English and Thai languages. Proven ability to communicate ideas, and write precisely and clearly.
  • Excellent written and verbal communication skills.
  • Willingness to learn and apply technology platforms and online tools to enhance productivity and performance, such as accounting information systems (AIS) and databases.
  • Cross-cultural skills. Ability to work in a multicultural environment involving extensive interaction / coordination with academicians, colleagues and stakeholders of different nationalities.
  • Strong attention to detail and able to work independently under time pressure.
  • Excellent analytical skills and problem-solving ability.
