Job description

  • Maintains the LC resource center and runs the LC reception desk.
  • Performs routine office administration such as answering the phone, responding to student enquiries and writing and sending email correspondence.
  • Carries out administrative duties such as filing, copying, binding, scanning, and maintaining proper documentation and management of files.
  • Cooperates with RSP (Research Support Program) Coordinator and Senior Administrative Officer in scheduling of classes, announcing courses, contacting part-time lecturers and arranging course registration. Also, prepares course materials for students and assists part-time lecturers in the classroom if needed.
  • Assists the RSP coordinator in checking the email communication with students related to research as well as checking the ERP for student status and issues invoices to enrolled students.
  • Prepares and follows up with the RTA/RTE requests for travel authorization.
  • Prepares the contract and payment for AIT student assistantship.
  • Assists the Senior Administrative Officer in English testing, EFP (English and Foreign Languages Program) courses and BP (Bridging Program) such as preparing test papers and invigilating the test, recording scores, assisting BP students, updating the students’ scores and attendance hours in SIS and other related work.
  • Coordinates with other units regarding LC matters.
  • Performs other duties as assigned by the LC Director, RSP coordinator and Senior Administrative Officer.

Requirements:

  • A bachelor's degree
  • Minimum 2 years of experience in administrative work
  • Good command of written and spoken English
  • Good computer skills such as the ability to use Internet and Microsoft Office applications, Google as well as learn essential applications.
  • Knowledge of IT systems, applications and hardware for general tasks
  • Experience in ERP system
  • Good organizational skills such as handling complex and/or multifaceted tasks
  • Possesses a team player mindset and good problem-solving skills
