Job Summary

The Program Officer will work under the general supervision of the Senior Researcher and Project Investigator.  S/he will ensure that the financial and administrative requirements for the Project operation are managed well and according to the rules of AIT and the Project’s Donor, including helping to prepare documents as needed, managing communications, and working on budgets and other financial and administrative requirements tied to project management. This requires him/her to interact and consult with the different offices of AIT at Institute level such as Finance, Human Resource and also at the school level (SERD), and to work together with the research teams in the four countries involved in the project and external resource persons/ partners as the Project needs.    

Job Description:

  1. Manage budget associated with AusAID research project (project period is from 2013 to 2016).
  2. Coordinate with Principle Investigators (GDS) and country-level heads of research teams
  3. Handle communications (be responsible for emailing and communication through Skype, write occasional e-newsletters about the AusAID project, manage web portal to include updates about the project)
  4. Ensure proper follow up on and closure of project-related contracts.
  5. Assist with the Research Communication and Engagement plan
  6. Handle logistics for meetings, and the organization of final workshops for policy makers
  7. Organize and manage documents (reports submitted, etc.)
  8. Prepare financial reports and assist PIs in preparing other project-related reports
  9. Other administrative and management tasks as assigned by PIs

Qualifications:

  1. Bachelor's degree in related field or higher
  2. Understanding of the administrative and financial procedures of AIT
  3. Experience in budget management and communication skills (writing, emailing, use of Skype, writing updates for a website, etc.)
  4. Good command of spoken and written English
  5. Good computer literacy (knowledge of ERP software, Word, Excel and other basic programs); ability to manage a website and create content is preferable.
  6. Excellent personal, communication, teamwork, presentation, and administrative skills
  7. Target-oriented and good planning skills, with prompt action and implementation.
  8. Ability to work after office hours, e.g., from home (rarely, occasionally – for example, right before meetings)

Details of appointment:

The contract will be originally for 6 months (with a 1-month probation period), with possibility of extension for 1 to 3 months.
