Qualification:

General Summary

The Administrative Secretary reports to the Secretary to the President and is responsible  for assisting with preparation of financial statements, purchasing, and provide administrative support to professionals, either as part of a team or individually.

Duties and Responsibilities:

  • Provide administrative support to the Vice President for Research (VPR) and Vice President for Academic Affairs (VPAA) in all matters relevant to the day to day function of the office, including filing and records management, mail receipt and sorting.
  • Maintain contacts to make an appointments with relevant international organizations, partners and private sector for the VPR and VPAA.
  • Monitor incoming enquiries (over the phone or face to face), providing information and referring enquiries in an effective and responsive manner.
  • Assist in facilitating travel arrangements of the VP-Research and VP-AA, and staff following the requirement of AIT.
  • Preparation for meetings including preparing agendas, organizing venues and distribution of minutes to contribute to the smooth running of meetings.
  • Assist the Secretary to the President on financial matters, including preparing of annual budget and tracking expenditures.
  • Facilitate purchase of office equipment required for the Office of the President through ERP system.
  • Coordinate with other units for appointments and other related.
  • Translate Thai letter to English version for some documents.
  • Perform other related duties as required. 

Qualifications:

  • Master’s Degree in International Relation or Business Administration.
  • Knowledge in understanding relevant policies and procedures related to the institute.
  • Excellent command of Thai and English languages.
  • With a minimum of 5 years’ experience in administrative task.
  • Good interpersonal skills, especially in dealing with people of various nationalities.
  • Ability to work under high pressure.
